Every team, one honest snapshot
The first screen answers the AD's morning questions. How many roster seats are open. Which teams are furthest from quota. What creative is waiting on review. What every team has asked for.
Program1 is the operating platform for small college athletic departments. Rosters, recruiting pipelines, scholarship dollars, and creative, all in one place.

The problem
At a small college, every recruit is a prospective student worth years of tuition, housing, and fees. Every team runs its own pipeline, and the institution cares about the total.
This is how nearly every small college department runs. No tool shows the whole picture.
One athletic department, before Program1
Real file, real catch
In one team's workbook, a single scholarship amount was typed as text, with a dollar sign, a comma, and a stray space. Excel's SUM skips text cells without a warning, so the sheet's own total came up short and nothing told anyone.
The coach's file, athlete names removed
| Row | Scholarship amount |
|---|---|
| 23 | $15,150 |
| 24 | $15, 806Stored as text. SUM skips it. |
| 25 | $15,700 |
| 35 | Scholarship total $297,750Short $15,806 |
| 36 | Roster count 23 |
What the spreadsheet said
$297,750
The sheet's count and its money disagreed with each other. 23 athletes counted, 22 summed.
What Program1 says
$313,556
The importer reads the cell as $15,806 and every total on the portal is right. No behavior change from the coach.
This was nobody's mistake. It is an Excel failure every school has. Thirteen separate files cannot police themselves, and the portal catches it automatically.
The product
Seven stops through the demo account, from the AD's first screen to the page a recruit sees.
Dashboard
The first screen answers the AD's morning questions. How many roster seats are open. Which teams are furthest from quota. What creative is waiting on review. What every team has asked for.
Recruiting
Green is returning athletes. Cyan is transfers in. Blue is signed. Stripes are committed and not yet signed. Whatever is left is open seats, and each one is a tuition paying student the school has not landed yet.
Below the bars sit the department totals, the pipeline by stage, where recruits come from, and a report ready to email.
Team page
Each team gets one page. Quota, filled seats, commits on the way, and seats still open sit at the top. The current roster and the recruiting board sit below, with scholarship dollars on every row.
Athletes who leave are archived and can always be restored. Nobody is ever deleted.
Positions and History
Positions lays out the board and the roster by position group. An empty spot reads Open. Needs Attention lists the relationships cooling off and the actions past due.
History shows every change, with who made it and when.
Recruit Link
Each coach builds a public page from inside the portal. Headline, pitch, coach quote, highlights, color, and hero photo, with a live preview beside the form. Nothing is public until the coach hits Publish.
A recruit fills out the form and it lands directly in front of the coaching staff.
Requests, Approvals, Library
Seventeen year olds choose the school that looks big time on their phone. Coaches request graphics in the portal, and the work moves through real statuses.
Every deliverable is approved by name before it represents the school. Approved work lands in a shared library the department can search.
News
Post to the whole department or to chosen teams, and pin the one that matters most. Who's Seen It shows who has read it.
Getting coaches on
There is no template and no retyping. One upload fills the roster, the pipeline, and the dollars.
The coach opens Recruiting and hits Import Team Sheet, then uploads the same discount workbook they already keep. The roster tab fills the Current Roster. The recruiting tab fills the pipeline.
One List puts everyone on one page, surest kids first. Sections separates the roster from the pipeline. Board shows the funnel as columns, ending with the roster.
A recruit's stage changes right on the row. A click on Quota sets the target. Every change moves the quota bar instantly.
If a name lives on both the roster and the board, the portal links them so nobody counts twice. A new upload merges and updates. It never wipes a coach's work.
When an athlete leaves the program, the coach archives the row. The athlete drops out of every count and stays in the building. Anyone can be brought back, and an athlete who shows up on the next upload returns automatically.
Committed recruits show up striped on the bar as on the way. When they sign, the roster row takes over. The same athlete is never booked twice.
Questions, or a sheet that will not import, go through Messages in the portal and get fixed the same day.
In production
Program1 was built alongside an Athletic Director who lives this problem every day, on real departmental data, workflows, and economics.
